Are you getting overwhelmed with the volume of paper and paperwork you need to process as a small business owner?
Have you thought about going paperless don’t know where to start? Perhaps you thought it is yet another gimmick from sales people?
As an Accountant with a paperless files for all our clients and a 99% paperless office I’m here to debunk any reasons you think it is impossible to do and why it’s important to go paperless so you can save time and money in the longer run.
1. Receipts / Supplier invoices
Shoeboxed and ReceiptBank are great pieces of software, however we prefer ReceiptBank. This is because of the quality of their product and the ability to decode hand written invoices and also, to automagify your data entry of supplier invoices.
Do you still receive thermal printer receipts for fuel or larger office suppliers? They’re often worthless pieces of paper if you leave the receipt on the dashboard of your car or in a folder for 12 months anyway.
2. Email your invoices to customers
Most customers these days are online so why not email your invoices to them, and whilst you’re at it, switch on online payments so that they can pay you by credit card. You save on paper and get paid quicker!
3. Specific industry
What if you’re in a specific industry and currently keep paper files for your customers?
I’m thinking vets, doctors, massage therapists, people in the health and wellness industry, tradespeople etc.
You might be surprised to learn that there are a lot of affordable business systems available to small business owners in these industries (and more) that can help you to go paperless, and even, mobile – allowing you to expand the possibilities for your business!
Reasons to go paperless:
1. Save the environment
By going paperless, you aren’t contributing to excess paper usage which in turn helps you to keep more trees upright.
2. Save costs
Printing & stationery and storage costs can add up.
By going paperless, you can reduce those costs significantly and increase your profits.
3. Easy Search
Electronic files are easier to search and many scanners and PDF readers actually will search for phrases within documents in your document file management system.
